Access Control

Requesting Access

How to request access to a published dataset as an external user.

Published datasets on Envision Portal support two access models: public access and controlled access.

Public Access

Public datasets are available to anyone who submits a simple request form.

  1. Find the dataset on the Discover page or navigate directly to its URL.
  2. On the dataset page, click Request Access.
  3. Fill in the access request form at /datasets/[datasetId]/access/public:
    • Your name
    • Your email address
    • Your institutional affiliation
    • The reason for requesting access
  4. Submit the form.

After submission, you can check the status of your request. Depending on the dataset configuration, access may be granted immediately or after review by the dataset team.

Controlled Access

Controlled access datasets require a more formal process involving a data use agreement (DUA).

  1. On the dataset page, click Request Controlled Access.
  2. Submit your request with your details and intended use.
  3. The dataset owner reviews your request.
  4. If approved, a DUA is negotiated between you and the data owner.
  5. Both parties digitally sign the DUA.
  6. Access is granted for a defined period. The access expires on the date specified in the DUA.

The dataset owner can invalidate access at any time if the terms of the DUA are not met.

Tracking Your Requests

All access requests you have submitted are visible at /app/requests when you are logged in. Each request shows the current status and any actions required from you.
